Job Description

Position Summary:
This position coordinates the daily operations of the residency program by providing programmatic services and by serving as liaison to various agencies with which the residency interacts. The coordinator works directly with the program director, partnering to manage the residency program by ensuring accreditation standards are met, that program policies are established, and that recruitment strategies are developed and implemented to insure that a highly successful residency program is maintained.

Qualifications:
EDUCATIONAL REQUIREMENTS
Bachelor's Degree in Related Field or three (3) years of experience coordinating office/programmatic services.

SKILLS AND KNOWLEDGE
Excellent customer service skills. Effective interpersonal communication skills; good working knowledge of computer applications, ability to collect, organize and maintain detailed data; objective, non-judgmental; self directed, able to work independently; attention to detail; strong organizational skills. Ability to learn program specific computer applications. Ability to manage complex schedules and information. Demonstrates professionalism, problem-solving, results-oriented work habits.

Essential Functions:

  • Coordinates and supervises recruitment, educational activities and special functions for GME programs.
  • Provides input on decisions regarding GME programs practices, policies, procedures and assists with annual update materials.
  • Serves as liaison between GME programs and clinical staff. Serves as GME program liaison to outside institutions.
  • Serves as liaison to Illinois Department of Professional Regulation, ensuring that GME program participants acquire appropriate licensure.
  • Coordinates outside educational activities for residents
  • Coordinates schedules to ensure that GME program participants acquire appropriate education and that various functions have adequate staff.
  • Coordinates the resident recruitment and orientation processes including the initial screening, examining, comparing, and processing of applications, scheduling of interviews, correspondence with applicants, gathering of interview summary information, and submission of NRMP rank order lists (if applicable).
  • Provides overall management of the daily operation of the residency program; ensuring complete documentation, including rotation evaluations, resident files, duty hour reports, off-site rotations.
  • Insures accurate information is contained in the resident files; including, ERAS application, license, contract and disciplinary actions, leaves of abscences and vacations
  • Oversee and maintain resident record keeping software to ensure all resident activity is up to date which directly impacts Medicare Direct and Indirect Medical Education payment processing.
  • Assists with orientation and training of new residents.
  • Develops and maintains documentation for GME and Residency programs.
  • Helps leadership ensure continuing compliance with all accreditation requirements.
  • Maintains or assists with Policy and Procedure manuals for residencies.
