Description

This position will be responsible for a wide range of activities required for scheduling call and clinic sessions for providers at SIU Center for Family Medicine - Decatur. This position will assist in educating providers and staff on scheduling policies/procedures. This position will also provide office support for the Health Care Administrator.

Examples of Duties

Schedules Call and Clinic 80%
1. Submits and processes time off/absence requests for all providers to the appropriate supervisor for approval, following established guidelines.
2. Enters all approved time off for providers into the Outlook FCMD _ Timeoff calendar and notifies staff on a daily basis who is out of the office and who is covering (if applicable).
3. Assists in creating and maintaining the faculty rounding board/vacation board and the resident vacation board.
4. Assists in entering and maintaining the residency master rotation schedule in amion.com.
5. Assists in creating/maintaining/updating the call and clinic schedule in am ion.com for each rotation according to guidelines; submits appropriately for approval.
6. Notifies FCM FQHC Decatur personnel as soon as possible regarding any call or clinic changes.
7. Tracks resident absences and submits to Medical Education Program Specialist for evaluation purposes and to Residency Program Director as requested.
8. Updates and maintains the faculty and resident call schedule for Decatur Memorial Hospital, via Halo.
Secretarial Responibilities 20%
1. Records, transcribes, distributes and maintains minutes of meetings in a timely and error-free manner.
2. Updates procedure manuals; notifies personnel of changes in a timely manner.
3. Keyboards, edits and/or updates documents for Administrators.
4. Provides office support to the PA Program Coordinator.
5. Introduces new residents to use of amion.com and policies involving clinic scheduling and templates.
Other Duties: As assigned.

Qualifications

  1. High school diploma or equivalent
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    1. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate?s Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor?s Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience performing office/clerical activities, including the use of computer systems.
  3. One (1) year (12 months) of work experience comparable to the Office Support Associate level; providing secretarial support duties to a principal person that may include duties such as calendaring, travel arrangements, transcription, etc
